Privacy Statement

Your personal privacy is of the utmost importance to us here at CottageRental.com (Cottage Country Travel Services). Since we are deeply committed to protecting the security and welfare of all of our clients, our policy is to respect and protect the privacy of every visitor to our company web site as well. The purpose of this policy is to provide you with a description of the type of information we collect on our website and how we use that information.

To help you better understand how we collect and use information collected on our website, we have provided the following summary of our online information practices:

Obtaining Your Consent to Collect Your Information:

CottageRental.com collects information you choose to give us, such as your name, email address, phone number and the details of your booking request, when you email us, call us, or fill in one of our online forms. Our website also collects some information automatically, as described in the sections below. When you do choose to give us your information, we keep it confidential.

There are a number of ways we collect your information on our website. You offer us your personal information when you: 1) make a general inquiry to the office via email on our Contact page or 2) request a listing of cottages specific to your vacation requirements by filling in our convenient online form By using any of these services, you automatically consent to the collection and use of your personal information by CottageRental.com as described in this policy. Where required by law, an acknowledgement of that consent will be included in the form you are asked to complete. It is important to note that you may withdraw your consent at any time simply by emailing us. If you do not give consent, or you later withdraw it, you may not be able to receive certain services that rely on the collection and use of personal information.

IP Addresses:

When you visit our website, we collect some basic statistical information that does not identify you as an individual user. This includes the amount of traffic visiting the site, which pages are visited and for how long, which search engines the visitors are using to get to our site, and what ISP they are using. We use the information we collect to improve the quality of our web site, enhance or tailor the information we offer, and make your experience on our site as valuable and efficient as possible. This information is collected for us by, and shared with, our analytics and advertising providers, such as Google and Meta, as described in the sections below. It is never sold.

What Our Website Collects Automatically:

When you use our website, information such as your IP address, browser and device type, the page that referred you, the ad or link you clicked to reach us, the pages you view, and the actions you take (such as starting or sending a booking request) is collected using cookies and similar small files. We mostly look at this as totals and trends. Some of it, like the ad you clicked, is linked to a booking request as described under Booking Source Records.

Analytics:

We use Google Analytics and similar tools to understand how visitors find and use our website: which cottages get viewed, how long people stay on a page, and where our visitors come from. The reports we review are totals, such as how many times a cottage page was viewed last week, not names. Google may combine this information with data from Google accounts of people who have turned on ad personalization, and we may use the resulting audiences for advertising.

Advertising Cookies:

We advertise on platforms such as Google, Facebook and Instagram. To see whether our ads lead to inquiries and booking requests, we use tools from those platforms on our website, such as the Meta Pixel and Google Ads conversion tracking. These tools set cookies in your browser and record actions you take on our site, such as viewing a cottage or sending a booking request, including whether a request was sent and its requested value. Our website may also send these same events directly from our server to the advertising platform, along with your IP address, browser type and the platform’s own cookie values, so our ad reports stay accurate when browsers block cookies. We use this information to measure our ads, avoid counting the same booking twice, and help the platforms show our ads to the people most likely to be interested.

Retargeting and Similar Audiences:

If you visit our website, you may later see CottageRental.com ads on Facebook, Instagram, Google or other websites. We may also ask the advertising platforms to show our ads to people with similar interests to our past visitors and guests. These audiences are built and held by the advertising platforms. We do not receive the names of the people in them.

Booking Source Records:

When you send a booking request, we keep a record of how you found us, such as the ad, search or link you clicked to reach our site and the page you landed on. This lets us see which of our advertising actually brings in bookings. The record is stored on our own website, is linked to your request using a scrambled (hashed) version of your email address rather than the address itself, and is kept for up to 24 months, after which we remove it.

Matching Contact Details with Advertising Platforms:

We may share contact details you give us in a booking request, inquiry or newsletter sign-up, such as your email address, phone number, and where needed your name and postal code, with advertising platforms such as Google and Meta. Before they leave our systems, these details are converted into a scrambled code (hashed). The code cannot be read as your email or phone number, but the platform can match it to an account that already uses the same details. We use this to:

  • see whether you also saw or clicked one of our ads, and whether an inquiry later became a confirmed booking;
  • stop showing our ads to people who have already booked, or show ads to past guests and inquirers; and
  • help the platforms find new people similar to our guests.

The platforms report results back to us as totals, not names. Meta and Google may also use what they receive under their own privacy policies, linked below. If you would prefer we not do this with your details, email us at the address below. We will remove your details from the lists we send to advertising platforms from then on. We cannot remove information those platforms already hold about you from their own systems.

Contact Interactions:

We record when someone taps our phone number or clicks our email address on the website, so we can see how often visitors choose to reach us directly. What gets recorded is that the tap happened, not the call or message itself. We may also use call tracking phone numbers on our website or ads, which show us which ad or page led to a call. A call tracking service may see the caller’s phone number and the time of the call. If a call is ever recorded, you will be told at the start of the call.

Email Newsletter:

If you sign up for our newsletter, we use an email service provider (currently Mailchimp) to send it. The service tells us whether an email was opened and which links were clicked, so we can send more useful content. If you have booked with us or asked about a cottage, we may also email you about our cottages, and after a stay we may ask you once for a review, as Canada’s anti-spam law allows. Every email we send says who it is from, how to reach us, and includes an unsubscribe link, and we act on unsubscribe requests within 10 business days. We may also use subscribers’ hashed email addresses with advertising platforms as described under Matching Contact Details.

Service Providers and Where Your Information Is Stored:

We use service providers to run our website, analytics, advertising and email, including our website host, Google, Meta, Mailchimp, Cloudflare, and the marketing agency that manages our advertising. We also use software tools, including AI-based tools, to analyse summary reports and prepare our marketing; these tools do not receive your name or contact details. Our providers handle information under their own contracts, terms and privacy policies for the purposes described here, and we remain responsible for information we give them. Some of them store or process information outside Canada, including in the United States, where it may be accessible to authorities under local law. We may change providers for the same purposes. Before using your personal information for a materially new purpose, we will tell you and ask for any consent that is required.

What We Do Not Share Through These Tools:

These analytics and advertising tools do not receive your payment or credit card details, or the written contents of your booking request or inquiry (such as your message, party size or special requests). We do not sell your personal information to anyone.

Your Choices:

Advertising measurement is not required to inquire or book with us. You can turn off advertising cookies on this website at any time with the “Ad cookie choices” link at the bottom of every page. You can block or delete cookies in your browser settings. You can manage the ads you see at facebook.com/adpreferences and myadcenter.google.com, opt out of interest-based ads from participating companies at youradchoices.ca, and opt out of Google Analytics on all websites with Google’s browser add-on. Read Meta’s privacy policy and Google’s privacy policy.
